3. The purposes and legal basis for the processing of your personal data
The Department of Civil Affairs process your personal data for the following purposes:
- In order to handle your inquiry.
- In order to improve our general case handling and to keep track of which inquiries have been processed, as well as for use in examination of earlier inquiries and practice.
You will in some cases receive a more detailed description of the purposes for the processing of your personal data from the relevant office which processes your inquiry.
The Department of Civil Affairs’ processing of your data is based on:
- Article 6 (1) (c) and (e) of the Data Protection Regulation.
- If you have sent us sensitive information, it will be processed in accordance with Article 9 (2) (f) of the Data Protection Regulation.
- If you have sent us information about criminal offenses, our processing is based on Section 8 (1) and Section (2) (3) of the Danish Data Protection Act[1].
- Processing of Danish social security numbers is to unambiguously identify the data subject in accordance with Section 11 (1) of the Danish Data Protection Act.

4. Recipients of your personal data
As a rule, the Department of Civil Affairs does not pass on your personal data to recipients. You will however in some cases receive a more detailed description of the purposes for the processing of your personal data. Potential recipients will appear from this description.
If we receive a request for access to documents and your personal data is included in those documents we will normally be required to pass on your personal data unless the data is confidential.

Right to information (right of access): You have the right to access the information we process about you and certain supplementary information.
Right to rectification (correction): You have the right to have incorrect information about yourself corrected.
Right to deletion: In very special cases, you have the right to have your personal data deleted before the deadline of the Department of Civil Affairs own general deletion policy.
Right to restrict processing: In certain situations, you have the right to have the processing of your personal data restricted. If the processing of your personal data is restricted, the Department of Civil Affairs may only process your information – apart from storage purposes – with your consent, or for the purpose that legal claims can be established, asserted or defended, or to protect a person or important public interests. It should be noted in this context, that archival purposes are to be regarded as important public interests.
Right to object: In certain cases, you have the right to object to our otherwise lawful processing of your personal data.
